This Privacy Policy explains how Herdsman Group Pty Ltd (ABN 64 703 631 663, ACN 703 631 663) (“we”, “us”, “our”) handles personal information. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs) contained in that Act.
This policy applies to information collected through herdsmangrouptec.site, by email and in the course of providing our services.
2. What personal information we collect
We only collect personal information that is reasonably necessary for our functions and activities (APP 3). This may include:
- your name, email address and the organisation you represent;
- the content of messages and enquiries you send us;
- information about the work you would like us to carry out, including details of suppliers, contractors or partners you share with us;
- billing and payment details needed to issue and settle invoices.
We do not ask for sensitive information, as defined in the Privacy Act, and ask that you do not send it to us. You may deal with us anonymously or under a pseudonym where that is practicable, although we will usually need your name and email address to respond to an enquiry or provide services (APP 2).
3. How we collect personal information
We collect personal information directly from you when you email us, use the enquiry form on our website (which opens your own email program), or engage us to provide services. Where you give us information about another person, such as a supplier contact, you should make sure they are aware that you have done so.
If we receive unsolicited personal information that we could not have collected under APP 3, we will destroy or de-identify it where it is lawful and reasonable to do so (APP 4).
4. How we use personal information
We use personal information for the primary purpose for which it was collected, and for related secondary purposes you would reasonably expect (APP 6). These purposes include:
- responding to your enquiries and preparing proposals and scopes of work;
- providing business management, project coordination, supply and partnership services;
- communicating with suppliers, contractors and partners on your behalf, where you have asked us to;
- invoicing, record-keeping and meeting our legal and tax obligations.
We do not sell personal information and we do not use it for direct marketing unless you have agreed to receive it. You can opt out of any marketing message at any time (APP 7).
5. Disclosure of personal information
We may disclose personal information to:
- suppliers, contractors and partners involved in work you have engaged us to coordinate;
- service providers who support our business, such as email, website hosting and accounting providers;
- professional advisers, such as accountants and lawyers, under a duty of confidentiality;
- government bodies or others where required or authorised by law.
6. Overseas disclosure
Some of our service providers, including email and website hosting providers, may store or process data on servers located outside Australia. Where personal information is disclosed overseas, we take reasonable steps to ensure the recipient handles it consistently with the APPs (APP 8).
7. Cookies and analytics
Our website is a simple static site. It does not set cookies, does not use analytics or advertising trackers and does not load third-party scripts. Like most websites, our hosting provider may automatically record standard technical information such as IP address, browser type and the pages requested, for security and to keep the site running. We do not use this information to identify individual visitors.
8. Storage and security
We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure (APP 11). Information is held in password-protected email and business systems with access limited to people who need it. When personal information is no longer needed for any purpose permitted under the APPs, and we are not required by law to keep it, we take reasonable steps to destroy or de-identify it.
9. Access and correction
You may ask for access to the personal information we hold about you (APP 12) and ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading (APP 13). Email your request to ceo@herdsmangrouptec.site. We will respond within a reasonable period, usually within 30 days. If we refuse a request, we will tell you why in writing and how you can complain.
10. Complaints
If you believe we have breached the APPs, please email ceo@herdsmangrouptec.site with details of your concern. We will acknowledge your complaint and aim to respond in writing within 30 days.
If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (OAIC), the independent regulator for privacy under the Privacy Act 1988. Details of how to lodge a complaint are available at oaic.gov.au.
